Setting Up and Using the Scoreboard

The Scoreboard is a dashboard tool that monitors progress on 30 statistics measuring performance in the clinic. Goals can be set for the statistics, which helps focus people in areas that are important to success. Metrics can be assigned per user dashboard that appears on both the EHR and schedule landing pages.


Scoreboard Setup Matrix

Settings can be individualized per user or per profile to show key metrics on either the doctor dashboard or the scheduler.  Assign goals to each statistic and watch progress toward achieving those goals on the Scoreboard.

Create a default profile to assign to all users or create profiles for specific areas of focus, for example, front desk or billing. After profiles are created, users can be assigned to a profile. 

The Scoreboard matrix is controlled by two tabs: Goals and Users.

Some metrics can be displayed for the following time periods:

  • Day
  • Week-to-date (WTD)
  • Month-to-date (MTD)
  • 3-month average

Others can only be represented in real time, which is signified in the setup screen as NOW.

Accessing the Scoreboard Setup Matrix

Only the doctor/owner has access to the Scoreboard setup matrix. Setup is accessed on either place the Scoreboard appears: Scheduler or EHR.

The first tab in the setup matrix allows you to establish goals for each metric.

Enter amounts in any field. Metrics with goals in multiple time periods will appear as separate boxes if each are selected for a specific user or profile. For example, if Collections - Payment Date has goals in the Day, WTD and MTD fields and each of those is assigned to one user, they will appear as separate boxes on the Scoreboard.

The second tab shows each user in your clinic. You can assign metrics individually or you can create profiles.

  1. The + sign adds a new profile
  2. Profiles appear in bold at the top of the list
  3. Each user in your clinic can be assigned statistics individually or they can be assigned to a profile
  4. Click in each box you want to appear on a specific Scoreboard

Creating a Profile

To create a Scoreboard profile:

  1. Click the + sign at the top of the Users tab
  2. Enter a description for the new Scoreboard profile
  3. Click the OK button

Assign Statistics to Profiles or Users

To assign statistics to a specific user, click on that user's name in the left-hand column and select the stats you want to appear for them by clicking in the boxes in the right-hand column. 

There is no limit to the number of statistics that can be assigned to a user, but they will have to scroll to see more than 10 on their dashboard.

Use the same process to add statistics to a profile. Simply click on the profile on the left and then choose the statistics assigned to that profile by clicking the boxes on the right.

Understanding the Calculations

The following table shows how each statistic is calculated. If there is an option to select a time period (day, WTD, MTD, 3 month average) the calculation is constrained by that time period.

Number of charge dates patients were billed a service with a non-zero dollar unit price

Number of signed in patients divided by pending new patient visits
Total PT Units
Number of units for service charges billed with a CPT code of 97*, G0283, 95851, S9090, or S8948. Units for 97001 and S9090 are counted twice
PT Clinic Ave
Number of therapy units divided by total number of patient visits
PT Unit Ave
Number of therapy units (only for patients coming in for therapy) divided by the patient therapy visits
Special Consultation
Number of patient appointments with a visit type like SPEC* and marked signed in

This is the number of converted patients in the last 90 days divided by the total number of future appointments

Prospects with prospect date between 30 and 120 days and total visits > 11 divided by converted new patients (3rd visit) with prospect date between 30 and 120 days
