Client Updates

Rapid Credentialing needs to provide updates to each facility, provider, and referral source on the progress of the payer enrollments.  Currently we have to copy information from our tracking spreadsheets into an email and send every 1-2 weeks.  RapidTrac needs to allow updates to all three of those but can't be so automated that we don't have a chance to do a final review of the last note to make sure it is clear and understandable for their review.

RapidTrac will have an Update tab in the main menu that currently is accessible only to Admin users and eventually will make it a user permission so a credentialing manager can update their own facilities/providers that are attached to them.

Add "Updates" between Payers and Users

1. Query for facilities that haven't been sent an update in the noted timeframe

2. List of facilities each collapsed except the first one expanded

3. No dropdowns in this section as the status will be selected during work flow

4. Update to send email with information shown

Change Notes

The admin will be reviewing the notes before selecting Update.  If they see a note that is not written clearly enough to send they need to access that note for editing prior to sending.  Click in the note field pops up the edit note window.

Update Clients

Clicking update opens up the HTML email template with the facility workflow as shown

1. Email template text is editable for any additional comments that need to be made

2. Choose whether to send to the facility contact or provider, or both.  If the email is the same in both facility contact and Provider default them both selected by gray them out or lock them to make it obvious that it's the same so there is nothing to choose.  If sending to Provider only include their lines in their update emails, and included all Providers in the Facility contact update.

Referral Source Update

We have key strategic partners that refer us clients and periodically those clients will call the referral source about their enrollments so we need to provide transparency into their accounts.

Add Referral Source to Facility Information

1. Add referral source as a dropdown with the following selections (Target Coding, Sidecar, PayDC, Goldstar Billing, Infinedi, UWS, ICS) as well as a way to "Add New"

 

Functions the same as Facility Updates ... shows the list of Referral Sources that have Facilities in workflow that haven't been sent updates in that given time period.  Also includes a number behind that Referral Source name that indicates how many facilities are in this update.

Email template is very similar with a slightly different text.   Only the Referral Source update will show as many facilities as they have in the workflow.   Also, there is no option to choose who it is being sent to as we will only have one email per referral source.

We don't have a place for Referral Source information so may need to add a Settings under the User icon so any Admin can access the Referral Source list where we would basically just have a Referral Source, Contact Name, Contact Phone, and Contact Email.
