Care Calculator for Cash Patients

This lesson will teach you how to use the Care Calculator for a cash patient.   The Care Calculator takes the patient's primary care plan and creates two financial responsibility forms for the patent's treatment plan: one for the cash plan and one for APEX. This aids you in explaining cost of care and shows the advantages of using APEX.

Accessing Setup for the Cash Care Plan

You want to make sure that your Items are set up with the correct price in your fee schedule before you set up the Cash / Apex Care Plan..

Clinic Fees (Cash) / DMPO fees (Apex)

1. Item: Item that has been selected to show as default in the Cash Care Plan

2. CPT Code: CPT of the item

3. Description: Shows what the Item/CPT code is

4. Cash: This is the price that is set up for this Item/CPT code under your Products and Services

5. DMPO: This is the price that is set up for this Item?CPT code under your Products and Services

6. You can type in a CPT code or Item number to search the list

You can click anywhere on an amount for Cash or DMPO and change the price on the template.  This will also update the price under the fee schedules in the Products and Services.

The first time you open the cash care plan, items from your cash fee schedule will be imported.  Edit this template so it includes the codes you use most frequently.

Treatment Plan Frequency

Open the patient's Care Calculator and start by entering information about the treatment plan frequency. There are three ways to do this.  First two are done by manually entering information.

  1. Click Select Treatment Plan to select a default plan, which was created in the System Setup.  Make changes to a default plan, depending on the doctor's actual treatment plan for the patient.
  2. Click Add Frequency to add frequency information, line by line.
  3. The third way this gets done, is if Doctor has completed a treatment plan for the patient which will pull over the frequency and populate for you.

Clinic Fees (Cash)

Using the doctor's plan for the patient, enter quantities in the Clinic Fees section.  The Clinic Fees Total will update accordingly.

DMPO a la Carte Fees / Excluded Fees

1. The APEX a la Carte Fees are automatically populated using the quantities you entered in Cash or Clinic Fees. Codes are included in each section of the right-hand side under DMPO a la Carte Fees (APEX) and Excluded DMPO (APEX) Services based on the APEX fee schedule.

2. In the Products and Services, if you do not have APEX fee schedule listed under an Item/CPT code, they will appear under the Excluded DMPO Services.

3. Totals for each section are calculated automatically and totals for the treatment plan are entered in the bottom section of the Care Calculator.

Reports Display

The purpose of the Financial Responsibility Forms is to show the patient the comparison between paying cash and using APEX. If you're not using a DMPO, the Financial Responsibility Form is useful in explaining the financial aspects of the treatment plan.

Remember that the Patient Payment Manager is available to set automatic recurring payments.
