This document reviews the Appointment List in the Scheduler. Learn how to read the icons to quickly get the status of each patient's visit throughout the day. You'll also find out about manually checking patients in and managing patient no shows, reschedules and cancellations.
Appointment List

The Appointment List shows all patients with appointments for the selected date. The appointments are shown in appointment order, combining all providers into one list.

- Click the Appointments tab to see the list. Click the Scoreboard tab to see those metrics.
- Use the Search Box to find a specific patient on the list
- The Refresh icon refreshes the list to display new appointments
- Use the Print pull down to choose appointment related reports
- The Arrow icon allows you to hide or display the Appointment List

The top of the Appointment List displays the number of appointments and patients. The number of appointments may be more than the number of patients. If a patient has linked appointments, those appointments are included in the total.

The Appointment List has seven columns that provide information about each patient.
- Appointment Status: Icons show the state of each appointment
- Visit Time: The appointment time appears in this column. Click the header to change the sort
- Patient Name: Click the header to sort by patient last name. A patients name is crossed off if they have Canceled, No Show or Re-scheduled
- Notes and Account Information: View Scheduler Notes and see details about the patient's account and upcoming appointments
- Visit Type: For the complete list of visit types, go to Utilities or click the Schedule Settings list to the left of the calendar
- Provider: Click the header to sort the list by provider
- Notes: Use this to highlight key information about the patient, such as their copay
Appointment Status
Icons in the Status column include:
- Check Mark: Patient is checked in
- Clock: Appointment is pending
- Dollar Sign: Charges are entered
- Red Dollar Sign: Only a product code has been entered
- Paper with !: No Show
- Circle Arrow: Patient rescheduled
- X: Cancel
Appointment Colors

- Orange: Re-Exam is due
- Green: Patient has open/started the New Patient History via the patient link sent to them
- Pink: No future appointments
- Yellow: New Patient who has not completed the New Patient History online
If the patient is highlighted green, you can view the New Patient History before the patient comes to the office. Right click the patient name and select View History.

Name
Click the patient's name to show the Patient Menu.

Notes and Missing Information
Icons that appear in this column give you details about that patient without having to delve into the Patient Menu:
- Note: Indicates a patient note to view
- Triangle: No future appointments scheduled
- Dollar Sign: Information on Patient Payment Manager for the patient. Hover over the icon to see the details.
- Cell Phone: No communications preferences
- Birthday Cake: The Cake icon indicates it's the patient's birthday
- Green square with a yellow $: Patient has a PPM or Wellness Contract. Hover over the icon to see the details.
Checking the Patient In
Patients can be checked in multiple ways. The primary way is via the kiosk, however, there are three ways the front desk person can check the patient in using the Appointment List.
- Double click in the Status column
- Right click on the patient's name and choose Check In
- Left click to open the Patient Menu and click the Check In button
New patients do not use the check-in kiosk on the first visit. Check them in manually by double clicking in the Status column next to their name.

The Checked In box provides a photo and details about the patient. Patient notes appear in the box next to the photo. Most of this information is also available in the Appointment List. When patients check in using the kiosk, this box will pop up to alert you to their check in.
The Checked In box pop up is a default setting per user. If you don't want the box to pop up, uncheck the option in System Setup.
Quick Functions by Right Clicking Name

New Appointment
Clicking New Appointment will bring up a tab for you to schedule another appointment

Reschedule
When you choose Re-Schedule a tab will open for you to select the new day and time which you will get a box to confirm the time and date change of the patients appointment.

No Show

Cancel

Edit Appointment

1. You can edit the specifics of the appointment such as the Date &Time, Length, Provider and Visit Code
2. You can edit the Status of the appointment
3. Editing to the correct case is important as that determines the kiosk questions and information populated in the Doctor screen for the appointment.
4. You can add Notes to the appointment
5. Anything that is changed regarding the appointment will be shown in the Log
Encounter Form
A single Encounter Form can be printed directly off the right click specific to the patient

Send Patient Portal Link
We have referenced the details of the Send Patient Portal Link in another document. To summarize one location you can click the Send Patient Portal Link off the patient name on the appointment list. It will then ask you to confirm the patients email address.

You will need to select what you will want to send to the patient.

If you are looking to just send the link for the patient, you can uncheck all the boxes.
Once your office has opted in for messaging, a right click on the patient name gives you the option to begin a new message.
